Job Time Entry add-on

Forgetting to record job time can affect your revenue or cause inaccurate job profitability calculations.

  • Record time into a job without the check-in (Quote, Work Order).
  • Works with the ServiceM8 iOS mobile app or Dispatch Board.
  • No changes are required to staff security roles.
  • Staff, start & end time entries will also be saved to the job diary.
  • Staff may add optional comments to be saved to the job diary.

Job Time Entry can assist if the normal job check-in was accidentally skipped or forgotten, or if you or your staff need to retroactively record time to a Quote or Work Order job using your mobile phone.

FAQ

The add-on does not add 'recorded time' into any job that is either marked Completed or Unsuccessful. 

It will only update jobs with a status of Quote or Work Order.

No, there were some limitations we could not overcome, so in the meantime you'll need to kill that browser tab yourself. We've built in behaviour to disable the input fields and the submit button to prevent an accidental resubmission of the same time entry.  

Simply put, no. The add-on requires an active data connection to the internet.

No, we designed the add-on to not manually record travel time or distance. For the moment, when adding your time entry, just state in the optional comments if the entry was for travel or onsite time.

If you are seeing this, you are using the add-on from the desktop Dispatch Board. Close and reopen the job card, and you'll see the  optional job notes in the job diary, and the recorded time entries in the Quotes & Invoicing tab.

On the iPhone, the entries will show up straight away as soon as you switch back to the ServiceM8 app.

No, and deliberately so. The add-on can only create new time entries, and not change or remove existing ones.

Only a staff member with a Business Owner security role, or a custom security role with the ability to edit check-in times can change or remove existing recorded time entries. 

The add-on does not attribute a labour material rate when recording a time entry into the job. If your staff object has been setup with a default labour rate, that will be the labour rate that ServiceM8 will apply when recording the time entry.

Also, the add-on does not add any labour material items to the materials section of the job card. You will still need to that yourself.

The initial times in the input fields default to UTC time, which may not match your local time zone. In the future we may look at updating the add-on to first query your ServiceM8 time zone setting and match the the input start and end times to that. 

If you are seeing time represented as HH:MM:SS, then you are using the desktop Dispatch Board. We may look at updating the code in the future to make it so that the SS (seconds) are hidden. 

That is our Benjamin Button safety feature, preventing you from aging in reverse. There are certain rules about the flow of time we must follow.

But seriously, you may have forgotten to change your am/pm in one of the time input fields.

We made an arbitrary  design decision to prevent you from adding more than 24 hours of time to any single time entry. 

We figure if you tried to add more than 24 hours to a job, you've probably made a mistake. If not, then it's not that hard to add another time entry or two to capture the extra hours you are trying to record.

From the Dispatch Board

  1. Open the desired job card
  2. Click the Time Entry button in the toolbar.
  3. A new pop-up window will open with Start Time, Start Date, End Time, End Date, and Add Job Notes.
  4. Complete the time input fields, and add optional job notes if required. Please note that the initial times are set to UTC, and make sure the am/pm is set correctly.
  5. Click the Submit Time button
  6. You will see another pop-up dialogue box showing you a summary of the Start and End times and date, along with Cancel or OK
  7. Choose Cancel to back out to the previous screen, or OK to submit the time entry into the job.
  8. About a second later, you should see a success message “your job time entry has been successfully submitted!”
  9. Click OK
  10. The input fields are now greyed out and cannot be modified, proceed to close the pop-up window.

From the Mobile

  1. Open the desired job card
  2. Use the action bar, find and the Time Entry button.
  3. The app will switch over to your browser and open a new tab with Start Time, Start Date, End Time, End Date, and Add Job Notes.
  4. Complete the time input fields, and add optional job notes if required. Please note that the initial times are set to UTC, and make sure the am/pm is set correctly.
  5. Tap the Submit Time button
  6. You will see another pop-up dialogue box showing you a summary of the Start and End times and date, along with Cancel or OK
  7. Choose Cancel to back out to the previous screen, or OK to submit the time entry into the job.
